Responsibilities: Executive & Calendar Management
- Manage a complex and frequently changing calendar, including meetings, appointments, and scheduling priorities.
- Coordinate leadership meetings, business events, and executive commitments.
- Track deadlines, action items, and key deliverables to ensure timely follow-up.
Meeting & Travel Coordination
- Organize meetings, prepare agendas and materials, coordinate logistics, and record meeting notes when required.
- Coordinate travel arrangements, accommodations, itineraries, and related documentation.
- Support special projects and administrative initiatives across the organization.
Communication & Documentation
- Prepare, edit, format, and distribute reports, presentations, correspondence, and meeting materials.
- Assist with managing executive communications and identifying priority items requiring attention.
- Act as a professional point of contact for internal and external stakeholders.
Administrative Support & Process Improvement
- Maintain confidential records and sensitive information with discretion.
- Support organizational, communication, and administrative processes.
- Identify opportunities to improve efficiency and executive support practices.
Qualifications and Skills:
- 3-5 years of Executive Assistant, Senior Administrative Assistant, or related experience.
- Exceptional organizational and time-management skills.
- Strong attention to detail and commitment to accuracy.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proven ability to handle confidential and sensitive information professionally.
- Strong initiative, sound judgment, and problem-solving abilities.
- Experience working with senior leaders and diverse stakeholders.
- Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and other office technologies.
- Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset.
- Must be legally eligible to work, and reside in Canada
