Office Receptionist
Overview
The Receptionist will be responsible for managing front-desk activities and providing day-to-day administrative and workplace support. As one of the first points of contact for visitors, clients, and employees, you will help create a professional and welcoming experience while upholding the company’s image and service standards.
Beyond reception duties, the role will support general office administration, facilities coordination, workplace arrangements, and employee activities to ensure the office operates efficiently on a daily basis.
Key Responsibilities
- Oversee reception activities, including visitor registration, issuance of access passes, and handling incoming calls where required. Notify the appropriate employees upon the arrival of visitors, parcels, and deliveries.
- Manage meeting room schedules and coordinate room arrangements for meetings, training sessions, and company events. Maintain the reception, office, and pantry areas in a clean, orderly, and presentable condition.
- Provide administrative support including document filing, data entry, preparation of monthly newsletters, procurement of office and pantry supplies, invoice processing, and making reservations when required.
- Assist in the planning and execution of internal office activities by coordinating decorations, catering, equipment, and other logistical requirements.
- Coordinate the receipt and dispatch of mail, courier items, and packages. Arrange local courier services and international shipments as needed.
- Liaise with internal departments, vendors, and other external parties on general office and facilities-related matters to support smooth workplace operations.
- Undertake other administrative and office support duties on an ad-hoc basis as assigned.
Requirements
- Diploma or Bachelor's degree in Business Administration, Facilities Management, Property Management, Engineering, or a related field.
- At least 1–2 years of relevant experience in reception, front-office administration, office administration, customer service, or a similar position. Prior exposure to facilities coordination or workplace operations would be advantageous.
- Good working knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Strong verbal and written communication skills, with a service-oriented approach when dealing with visitors, employees, and external parties.
- Well-organized with good time management skills and a strong eye for detail.
- Able to prioritize and manage multiple responsibilities independently while working effectively with different departments and stakeholders.
- Dependable, self-motivated, adaptable, and willing to learn, with a positive and professional approach to work.
- Presentable and professional in appearance and conduct, with the confidence and interpersonal skills to serve as a positive first point of contact for the company.
