The Administration Manager will oversee the day-to-day administrative operations of all YourParts offices and facilities, ensuring safe, efficient, and cost-effective work environments that enable the business to run smoothly. The role owns facilities management, office services, procurement of administrative supplies and services and vendor and lease administration across all company locations. Acting as the backbone of internal operations, the Administration Manager sets policies and service standards, leads the administration team, and ensures compliance with legal, safety, and licensing requirements at every site.

KEY RESPONSIBILITIES & DUTIES

  • Facilities Management: Oversee the operation, maintenance, and readiness of all YourParts offices, warehouses/branches, and facilities, ensuring safe and well-functioning work environments
  • Office Services: Manage front-desk, mail, hospitality, cleaning, and general office services to consistent standards across all locations
  • Administrative Procurement: Source and purchase office supplies, equipment, furniture, and administrative services; negotiate pricing and manage supplier contracts to optimize cost
  • Lease & Contracts Administration: Manage office lease agreements, renewals, utilities, and service contracts across all sites; maintain accurate records of obligations and renewal dates
  • Asset Management: Maintain the fixed asset and equipment register for administrative assets; control custody, transfers, and periodic physical counts
  • Health, Safety & Security: Implement safety, security, and access-control measures across offices; ensure compliance with civil defense, licensing, and regulatory requirements
  • Budgeting & Cost Control: Prepare and manage the annual administration budget; monitor expenses, identify savings opportunities, and report variances
  • Policies & Procedures: Develop and enforce administrative policies (office access, travel, transportation, meeting facilities) and ensure adherence company-wide
  • Travel & Events Support: Manage travel arrangements, accommodation, and logistics support for company events and meetings
  • Team Leadership: Lead, schedule, and develop the administration team (admin officers, office assistants, drivers, security, and cleaning staff) across locations
  • Cross-Functional Support: Coordinate with HR, Finance, and Operations on onboarding logistics, workspace planning, and expansion or relocation projects for new offices/branches

KEY PERFORMANCE INDICATORS (KPIS)

  • Facilities uptime and resolution time for maintenance requests
  • Administration budget adherence and cost savings achieved
  • Vendor and lease contract compliance (renewals completed on time, no service interruptions)
  • Fleet availability, maintenance schedule adherence, and cost per vehicle
  • Safety and regulatory compliance across all sites (inspections passed, licenses valid)
  • Internal customer satisfaction with administrative services

REQUIREMENTS

  • Bachelor’s degree in Business Administration or a related field
  • Experience: 7–10 years of administration and facilities management experience, including at least 3 years in a managerial role
  • Multi-Site Exposure: Proven experience managing multiple offices, branches, or facilities simultaneously
  • Procurement & Contracts: Solid background in administrative procurement, vendor negotiation, and contract/lease management
  • Regulatory Knowledge: Familiarity with local licensing, safety, and civil defense requirements in Egypt
  • Languages: Fluency in Arabic and English (written and spoken)
  • Tools: Proficiency in MS Office; experience with facility/asset management systems is a plus
