The primary purpose of this position is to serve as the principal administrative assistant to the MD 9 Commander and MD 9 Deputy Commander, providing independent executive, administrative, and command support services for the command section and S-Staff.

Major duties

Serves as the principal administrative assistant to the MD 9 Commander and MD 9 Deputy Commander. Serves as the command section focal point for assigned Commander's Support Staff (CSS) programs supporting the command section and SStaff. Manages command section correspondence, taskers, suspense actions, reports, records, and administrative information flow. Plans and coordinates administrative aspects of command section operations, including conference room scheduling, meeting logistics, office supplies and equipment coordination, visitor support, continuity actions, and special projects.

Qualifications

Conditions of Employment Continued Employee is in a designated position that requires consent and thereafter be subject to and successfully complete, an initial, periodic, and random counterintelligence (CI) scope polygraph examination as a condition of employment. The employee must successfully take and pass a Counterintelligence Polygraph (CIP) Examination. Situational Telework Only Qualifications In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower broadband (NK-02), equivalent to the next to lower grade (GS-07) or equivalent in the Federal Service. Examples of specialized experience includes the following: Preparing, proofreading and maintaining correspondence and records. Tracking actions, commitments, and administrative requirements. Managing calendars and coordinating meetings, visitors, and communications. NOTE: This announcement may result in a 120-day register that may be used to fill like vacancies for 120 days after the closing date. Applicants may be referred for consideration as vacancies occur. Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

  1. Knowledge of administrative support practices to independently manage Delta level command section and staff operations, including calendars, meetings, travel, correspondence, taskings, suspense's, records, and continuity actions.
  2. Knowledge of the organization's mission, structure, priorities, and administrative processes to screen and route calls, visitors, correspondence, and staff actions; resolve routine matters; and refer technical or policy issues to the appropriate authority.
  3. Skill in written and oral communication to prepare and review correspondence, briefings, reports, trackers, and meeting materials; communicate administrative requirements; and interact professionally with senior leaders, staff, and external stakeholders.
  4. Skill in planning, organizing, and prioritizing multiple requirements to manage competing deadlines, resolve scheduling or suspense conflicts, coordinate required actions, and provide timely status to leadership.
  5. Skill in utilizing office automation and collaborative tools to maintain calendars, correspondence, spreadsheets, trackers, reports, electronic files, and continuity materials.
  6. Ability to improve administrative processes by identifying workflow gaps and developing or updating local procedures, checklists, templates, trackers, and continuity products.
  7. Ability to exercise sound judgment, discretion, tact, and professionalism when handling leadership schedules, personnel related administrative information, taskings, correspondence, and other sensitive command section matters.

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
