We are looking for a Manager to become a member of our Global Workplace Management Team. This role will be responsible for leading the facilities department and managing facilities operations for all North American activities. This is a leadership role that will drive a team to advocate for the development, implementation, maintenance, physical operational integration, and custodial control of all North American facilities with direct responsibility for the Jacksonville HQ.

The Manager, Workplace Management will manage both the hard and soft services to ensure that team members are safe, secure, and comfortable and our core business is well supported. Planning, prioritizing and coordinating with all business partners are the fundamental skills you are bringing to drive forward the facilities function for D&B’s operations in North America.

Essential Key Responsibilities Leading and managing the North America Facilities service teams (internal and external) to ensure that the office operates smoothly and at optimal efficiency

Contract Management at local level monitoring performance and review KPI’s

Review & monitor Planned Preventative Maintenance (PPM) schedule ensuring adherence

Owning the relationship with building/property management, leadership, and team members

Landlord liaison to assure the quality of landlord related maintenance & repair and security services

Main point of contact for suppliers - supervise and lead maintenance contractors, reviewing their scope of services, as required

Provides direction/guidance to the facilities staff, vendors, and service providers as required; ensure excellent coordination/execution of work with minimal disruption to operations, not limited to janitorial, food and vending services, building maintenance and grounds.

Accountable for the management of safe system of work for all contractors on site, issue, and review of permits to work and inspection of work pre and post service/repair

Responsibility for ensuring the office is compliant with health, safety, and legislation

Anticipate and implement conference and event solutions that meet the requirements of the business

Involvement in office related projects from conception to completion

Evaluate, plan, and allocate workspace to maximize capacity and utilization for changing team formation

Supports in the implementation of Emergency Response Efforts, coordination of personnel, space, and equipment, advance efforts for the prevention and or mitigation of security incidents, and help determine appropriate responses (Site Leadership notification, CMT activation, etc.)

Supervises the preparation and submission of team’s requisitions and purchase orders; partners with Finance and Sourcing and Procurement to ensure timely payment processing and reconciliation of invoices, monthly accruals, reforecasts, and variance reports required by Finance.

Drive facilities ESG initiatives by researching, developing, and implementing measures to reduce waste, improve relationship/partnerships, and support D&B’s governance policies. Ensure facilities EST related data collections are performed timely and inputted into our central platform.

Essential Skills and/or Certifications 5+ years of facilities, workplace, office operations, or workplace experience

At least 3 years in a supervisory or management role

Experience in implementing Health, Safety & Quality management policies and procedures to ISO standards & legislation

Project Management experience preferred

Experience managing Vendor, contractor, building maintenance and workplace service contracts and relationships

Service orientated and a team player

Strongly motivated to deliver a world class standard of support and guidance to the business

Strong planning, organizational and problem-solving skills.

Excellent communication skills (both verbal & written)

Reliable, responsible and responsive person, who will bring professional approach to the role is essential

Proficiency in Microsoft Office Suite skills

Ability to stand, walk, climb, kneel, crouch and bend over for work at office premises and office events

Regular attendance in the office
