The Wholesale Apparel Production Assistant supports the Production Manager in managing the end-to-end purchase order process with vendors and factories.

This role is responsible for writing and issuing purchase orders, tracking order status, and following up with vendors to ensure production stays on schedule and deliveries arrive on time. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple orders and deadlines simultaneously in a fast-paced apparel environment.

Responsibilities Draft, issue, and maintain purchase orders (POs) to vendors and factories based on direction from the Production Manager

Verify PO accuracy, including style numbers, quantities, costing, ship dates, and vendor terms, prior to issuance

Track the status of open POs from issuance through delivery, flagging any delays or discrepancies

Follow up regularly with vendors and factories to confirm production timelines, sample approvals, and shipping schedules

Maintain and update production calendars and status trackers to reflect current order status

Escalate at-risk orders (late production, missed milestones, quality issues) to the Production Manager in a timely manner

Communicate with internal teams (merchandising, design, logistics) to relay updated timelines or changes to orders

Assist with maintaining vendor files, including compliance documents, costing sheets, and order history

Support the Production Manager with administrative tasks related to sourcing and production as needed

Help reconcile PO details against invoices and shipping documents

Qualifications 2 years of experience in apparel production, sourcing, or a related supply chain role (internship experience considered)

Bachelor's degree in Fashion Merchandising, Business, Supply Chain, or a related field preferred

Proficiency in Microsoft Excel; experience with PLM or ERP systems a plus

Strong written and verbal communication skills for regular vendor correspondence

Highly organized with excellent attention to detail and follow-through

Ability to manage multiple orders and deadlines in a fast-paced environment

Comfortable working across time zones with overseas vendors and factories
