Staff Assistant
This position is located in the Bureau of Human Resources, Office of Organization and Talent Analytics (HR/OTA). OTA provides a number of services in the areas of resource management, workforce planning, classification and compensation policy, organizational analysis and data analytics.
Major duties
- Independently manages all operational support to OTA. Responsible for developing operating procedures and best practices to facilitate the coordination of administrative support and ensuring OTA staff have full operational support.
- Analyzes administrative and operational issues as it pertains to efficiency of OTA. Advises senior management on ways to improve administrative support, effectiveness, and efficiency, throughout the office.
- Identifies and resolves issues related to workflow, efficiency, and record-keeping for all operational and administrative tasks. Prepares oral and written reports outlining areas of concern and recommended solutions to share with OTA leadership.
- Stays abreast of ongoing changes in policy, procedure, customer needs and expectations. Establishes a process for onboarding temporary and permanent staff. Develops and maintains all Standard Operating Procedures for administrative tasks.
- Provides daily support to OTA leadership. Prepares agendas for meetings, provides background information prior to meetings, handles calendar for Office Director, reschedules meetings, answers phones/email, and greets visitors to the OTA suite.
Qualifications
Applicants must meet all the required qualification requirements described below by the closing date of this announcement. NOTE: Applicants must meet time-in-grade and time after competitive appointment requirements, by the closing date of this announcement. Time-In-Grade Requirements: Federal applicants must have served 52 weeks at the next lower grade to satisfy time-in-grade restrictions, per 5CFR 300, Subpart F. Applicants must have 1 year of specialized experience equivalent to the GS-11 level in the Federal service which provided the applicant with the particular knowledge, skills and abilities to perform the duties of the position. Qualifying specialized experience must demonstrate the following: Experience providing a wide-range of administrative support functions, including preparing oral and written reports for Senior Management, establishing deadlines, etc.; and Experience providing advice on various administrative policies, procedures, and requirements. There is no substitute of education for specialized experience for the GS-12 position.
