WHO ARE WE LOOKING FOR? The Operations & Admin Specialist plays a key role in supporting Woven Capital's day-to-day business by partnering with teams across the organization to deliver seamless administrative support and improve internal processes. Working closely with the Admin & Ops Manager, this role helps ensure consistency, accuracy, and timely execution across a broad range of responsibilities. The ideal candidate is highly organized, detail-oriented, proactive, collaborative, and thrives in a fast-paced, cross-functional environment.

RESPONSIBILITIES Workflow, Process & Systems : Support day-to-day fund operations by maintaining CRM data, internal trackers, SOPs (Standard Operating Procedures), and process documentation, while assisting with continuous improvements to operational workflows

Office & Facility Logistics : Coordinate office operations, including office supplies, workspace readiness, and facility-related activities to ensure a smooth and professional work environment

Tools & Vendor Management : Support vendor management, software procurement and renewals, and contract administration, including routing and tracking

Reporting : Assist in preparing and coordinating recurring reports and reporting materials

People Operations Support : Coordinate onboarding and offboarding, support new hires, and maintain onboarding documentation and internal knowledge resources

Team Support & Coverage : Provide support and coverage for other Ops & Admin team members as needed

Projects & Events : Support internal events, special projects, and other operational initiatives as assigned

MINIMUM QUALIFICATIONS 5+ years in operations, administration, or coordination roles

Native Japanese and business-level English

Strong attention to detail and ability to manage multiple priorities

Familiar with cross-functional processes and fast-moving startup/corporate environments

Comfortable with Google Workspace, Slack, DocuSign, and other workflow tools

NICE TO HAVES Calm and solutions-oriented under pressure

Strong sense of ownership and follow-through

Clear and collaborative communicator with global stakeholders

Process-minded and continuously improvement-focused

Prior experience in venture capital, legal operations, or corporate governance is a plus
