Support the daily office administration to ensure smooth office operations. Assist in coordinating office facilities, equipment, and maintenance services to maintain a safe and efficient working environment. Support procurement activities, including obtaining quotations, preparing purchase requests, tracking orders, and maintaining inventory records. Liaise with vendors, service providers, contractors, landlords, and government agencies on routine administrative matters. Monitor office supplies and replenish inventory when required. Assist in processing administrative invoices, payments, and expense records. Coordinate meeting arrangements, business travel, company events, and employee engagement activities. Support workplace health, safety, and compliance initiatives in accordance with company policies. Provide administrative support to management and various departments, ensuring smooth coordination of daily operations. Maintain and update administrative records, contracts, licenses, and company documents. Assist with employee onboarding and offboarding activities, including workspace setup, access card administration, and company asset tracking. Perform general clerical duties, including filing, document preparation, data entry, and correspondence. Carry out ad hoc administrative duties and projects as assigned by management.

Job Requirements

  • Diploma or Bachelor's degree in Business Administration, Administrative Management, Corporate Management, Accounting, Finance, or a related discipline.
  • 1–3 years of relevant experience in office administration, general affairs, procurement support, or administrative coordination. Fresh graduates with a positive attitude are encouraged to apply.
  • Basic understanding of office administration and procurement processes.
  • Proficient in Microsoft Office applications (Excel, Word, and PowerPoint).
  • Good organizational and time management skills with attention to detail.
  • Good interpersonal and communication skills, with the ability to work effectively with colleagues, vendors, and external parties.
  • Fluent in English and Mandarin (spoken and written) to communicate with headquarters and Mandarin-speaking stakeholders. Knowledge of Taiwanese Hokkien or another language is an advantage.
  • Responsible, proactive, and willing to learn, with the ability to work both independently and as part of a team.
  • Willing to work flexible hours when required to support business or project needs.
