Office Administrator
Job:
Managing the administration and facilities requests sent by the ticketing system related to cleaning, buffet needs, stationery, medical refunds, main maintenance, and any other related requests.
Handling day-to-day functions of the office, such as greeting and directing all visitors, including vendors and job candidates.
Organizing files, such as maintenance visits and building supplies documents.
Managing the entire cycle for the employees’ access cards from printing to delivery.
Supervising members of the administrative staff on office daily requirements, such as water bottles, drinks, etc.
Handling the medical insurance related matters, such as refunds, solving employees’ medical cases, following up on bank transactions, and delivery of medical cards.
Preparing monthly maintenance reports if required.
Organizing any employees’ gifts and dealing with shipment companies until delivery.
Supporting building maintenance matters, such as elevators, air conditioners, plumbing, electricity, etc.
Coordinating workshops, events, and staff meetings requirements such as ordering snacks, preparing setups, and following up on meeting room availability for the requests.
Supervising the security employee tasks, such as following coronavirus precautions.
Tracking and replacing company supplies as necessary (stationery, printers’ cartridges, and office supplies).
Handling inventory consumption.
Receiving any invoices, bank cards, medical cards, shipments and handling them with the right department.
Handling local purchases and maintenance per requests.
Offering high-quality follow-up on maintenance complaints.
Collaborating with other internal departments like Finance, HR, Purchasing, etc. in relevant duties for smoother operations.
Handling cleaning staff by:
Scheduling their shifts and how they work.
Auditing.
Managing their attendance.
Evaluating performance.
Requirements:
Bachelor’s degree from a related university.
2+ years of experience.
Excellent interpersonal and time management skills.
Excellent organizational skills.
Attentive to detail.
Good English skills.
Excellent written and verbal communication skills.
Excellent customer service skills.
Strong Microsoft Office skills.
Be flexible with working hours when necessary.
Problem-solving skills.
