Employment Type: Part-time or full-time Location: Tai Seng Reports To: Managing Director Working Hours: To be agreed About the Role We are a small health supplement company serving B2B and B2C customers, primarily through local and international trade, with some online retail activity. We are looking for an organised, reliable, and hands-on person to manage day-to-day bookkeeping, financial administration, and office operations. The role requires someone who can work independently, take ownership of their responsibilities, and manage priorities with minimal supervision. The person will work closely with our Sales Administration team, which manages sales administration, order follow-up, and commercial documentation, providing assistance when required. Key Responsibilities Bookkeeping and Financial Administration Record daily financial transactions accurately in the company’s accounting system. Maintain accounts payable and accounts receivable records. Monitor customer payments and follow up on outstanding balances in coordination with the Sales Administration team. Prepare payment schedules and arrange payments following management approval. Reconcile bank accounts, credit-card transactions, and online payment-platform transactions. Prepare bank transactions for approval by management. Maintain records of company expenses, petty cash, reimbursements, and employee claims. Monitor cash flow and provide regular updates on available funds, upcoming payments, and outstanding receivables. Support month-end closing and prepare basic financial reports for management. Prepare financial records and supporting documents for the external accountant, auditor, or tax adviser. Assist with applicable tax, payroll, CPF and statutory requirements in coordination with management and external advisers. Maintain accurate, organised, and confidential financial records.

Office Management and Administration Coordinate day-to-day office administration and help keep operations running smoothly. Monitor office supplies, equipment, subscriptions, and routine service requirements. Coordinate office purchases and services within approved budgets. Liaise with office service providers, maintenance contractors, building management, and other relevant partners. Handle general office correspondence, enquiries, deliveries, and administrative matters. Maintain employee administrative records, including leave records, expense claims, and onboarding documents, where required. Track relevant administrative deadlines, renewals, and outstanding tasks. Provide practical administrative support to management and colleagues as needed.

Support to Sales Administration Work closely with the Sales Administration team without taking over its primary responsibility for sales administration, order follow-up, and commercial documentation. Assist with preparing, formatting, proofreading, and filing business correspondence, reports, presentations, contracts, and internal documents when required. Assist with occasional online retail order preparation when required.

Qualifications & Expectations Experience and Skills Relevant qualification or practical experience in accounting, bookkeeping, finance, or business administration. Proven experience managing day-to-day bookkeeping and financial administration. Comfortable using accounting software - Experience in Moneyworks is an advantage/ Good working knowledge of Microsoft Excel or Google Sheets. Strong numerical accuracy, attention to detail, and organisational skills. Good written and spoken English. Able to communicate professionally with colleagues, customers, suppliers, and external advisers. Experience in a small business, trading company, or business serving both B2B and B2C customers is an advantage. Familiarity with multi-currency transactions, international trade, and online retail payment platforms is an advantage.

For a part-time arrangement, working hours and responsibilities will be agreed according to the company’s needs.
