Warehouse Supervisor

Role Purpose
To supervise safe, accurate and efficient warehouse operations while coordinating inventory and supply chain activities.The role ensures timely receiving, storage, issuing and delivery of materials,maintains stock accuracy, follows up on purchase orders and shipments, and supports operational requirements in compliance with company procedures and ISO9001 & 45001 requirements.
Key Responsibilities
Warehouse Operations
- Supervise daily receiving, inspection, labelling, put-away, picking, issuing and delivery activities.
- Ensure physical goods are checked against suppliers’ delivery orders, purchase records and the ERP system.
- Ensure all stock movements, including GRNs, EPIs, transfers and adjustments, are recorded accurately and promptly.
- Maintain proper bin locations, stock identification and warehouse organisation.
- Ensure parts are issued according to approved work instructions, project codes or authorised requests.
- Coordinate deliveries and collections with suppliers, customers and transport providers.
- Monitor warehouse space utilisation and recommend improvements to storage arrangements.
Inventory Control
- Monitor inventory levels and identify items that require replenishment.
- Review stock usage, safety stock, reorder points and supplier lead times.
- Conduct regular cycle counts and assist with annual stock takes.
- Investigate stock discrepancies and report the findings to management.
- Monitor slow-moving, dormant, ageing and dead stock.
- Recommend actions to reduce excess inventory and prevent stock shortages.
- Ensure damaged, rejected or unidentified goods are properly quarantined and reported.
- Maintain accurate inventory records in the ERP system.
Supply Chain Coordination
- Coordinate with Procurement on replenishment requirements and purchase-order status.
- Follow up and maintain proper tracking of purchase orders, supplier deliveries, outstanding items, back orders and urgent requirements.
- Monitor shipment and delivery schedules to ensure materials arrive on time.
- Maintain an updated tracking list and provide regular status updates to the relevant departments.
- Follow up with suppliers and freight providers on delays, shortages or delivery discrepancies.
- Support demand planning based on historical usage and operational requirements.
- Liaise with internal departments to understand upcoming material and spare-parts requirements.
- Monitor supplier lead times and highlight potential supply disruptions.
- Assist with supplier performance reviews, price comparisons and sourcing activities when required.
- Support cost-control initiatives, including inventory holding costs, freight expenses and urgent purchases.
Team Supervision
- Plan and assign daily duties to warehouse staff.
- Monitor staff attendance, productivity, discipline and work quality.
- Train warehouse employees on operational procedures, ERP transactions, equipment handling and safety requirements.
- Ensure proper handover and communication between team members.
- Conduct regular briefings and provide guidance to improve team performance.
- Escalate performance or disciplinary matters to the Warehouse Manager or HR when necessary.
Safety and Compliance
- Maintain good housekeeping and ensure 5S practices are followed.
- Ensure employees comply with workplace safety requirements and wear the required PPE.
- Ensure forklifts, reach trucks, stackers and other material-handling equipment are operated only by trained and authorised personnel.
- Conduct routine inspections of warehouse racks, equipment and work areas.
- Report accidents, near misses, unsafe conditions and equipment defects promptly.
- Participate in risk assessments and implement appropriate control measures.
- Ensure compliance with company safety procedures, applicable legal requirements and ISO 45001 Occupational Health and Safety Management System requirements.
- Support safety audits, workplace inspections, incident investigations and corrective actions.
- Maintain proper warehouse, safety and training records for operational and audit purposes.
- Promote a strong safety culture and encourage employees to report workplace hazards.
Requirements
- Diploma or equivalent qualification in Supply Chain Management, Logistics, Warehousing or a related field.
- At least three years of relevant warehouse or supply chain experience, including supervisory experience.
- Good knowledge of inventory control, warehouse operations and supply chain processes.
- Experience using ERP or inventory-management systems; AutoCount experience would be an advantage.
- Proficient in Microsoft Excel, Outlook and other Microsoft Office applications.
- Able to operate material-handling equipment or hold a valid forklift licence would be an advantage.
- Able to communicate effectively in English; the ability to communicate in Mandarin would be helpful when dealing with Chinese-speaking colleagues.
- Physically fit and comfortable working in a warehouse environment.
