Job Specification – Property Manager / Lettings Administrator Location: Uxbridge, MiddlesexEmployment: Full-time, Permanent About the Role On behalf of our clients, We are looking for an organised, proactive and experienced Property Manager / Lettings Administrator to join our team in Uxbridge. The successful candidate will be responsible for the efficient day-to-day management and administration of a residential property portfolio, with particular responsibility for Assured Shorthold Tenancies (ASTs), student lets and HMO properties. This is a varied role involving landlords, tenants, students, contractors and the wider lettings team. The ideal candidate will have excellent attention to detail, strong communication skills and the ability to manage multiple properties and deadlines simultaneously. Key Responsibilities Tenancy & AST Administration Prepare, issue and manage ASTs and associated tenancy documentation. Process new lets, renewals, extensions and changes to tenancies. Carry out tenant referencing and right-to-rent checks. Ensure tenancy paperwork is accurate, complete and issued within required timescales. Manage tenancy deposits and relevant prescribed documentation. Prepare move-in and move-out documentation. Maintain accurate electronic and paper property files. Deal with tenancy queries from landlords, tenants and students promptly and professionally. Keep up to date with changes to residential lettings legislation and ensure procedures remain compliant. Student Lettings Manage the administration of student properties from initial application through to move-in and throughout the tenancy. Deal with student tenants, guarantors and parents where appropriate. Coordinate group student lets and ensure all tenants and guarantors complete the required paperwork. Manage student tenancy renewals and re-lets. Assist with arranging and coordinating student property viewings. Liaise with students regarding deposits, payments, maintenance and tenancy requirements. Manage the higher volume of enquiries and administration associated with the student lettings cycle. Property Management Manage day-to-day landlord and tenant enquiries. Log, monitor and coordinate repairs and maintenance issues. Liaise with contractors, suppliers and landlords to ensure works are completed promptly and cost-effectively. Arrange access for contractors and property inspections. Monitor outstanding maintenance issues through to completion. Arrange and monitor required property inspections. Assist with check-in and check-out procedures. Review check-in/check-out reports and liaise with landlords and tenants regarding any issues. Landlord & Tenant Relationship Management Act as a professional point of contact for landlords and tenants. Provide regular updates to landlords where required. Handle complaints and difficult situations professionally and calmly. Build strong working relationships with landlords, tenants, contractors and colleagues. Resolve issues wherever possible and escalate matters appropriately when required. General Administration Maintain accurate property and tenancy records on the company’s property management system. Manage emails and telephone enquiries efficiently. Upload and maintain documents and correspondence. Process invoices and obtain approval where required. Assist with rent and arrears administration. Produce reports and provide administrative support to the Property Manager / Management Team. Ensure all tasks are completed accurately and within agreed deadlines. Person Specification Essential Previous experience in residential lettings, property management or a similar administrative role. Good understanding of ASTs and the residential lettings process. Experience dealing with tenants and landlords. Strong administrative and organisational skills. Excellent attention to detail. Confident telephone and written communication skills. Ability to manage multiple properties, tenants and deadlines simultaneously. Good IT skills and experience using Microsoft Office. Ability to work independently and as part of a team. Professional, reliable and proactive approach. Ability to deal confidently with challenging situations. Desirable Previous experience managing student accommodation or HMO properties. Experience with property management/lettings software such as Alto or similar systems. Knowledge of deposit protection procedures. Experience coordinating contractors and maintenance. Knowledge of current residential property legislation and compliance requirements. ARLA/Propertymark qualification or willingness to work towards a relevant qualification.
