Sales Administrator - Sao Paulo, Brazil
Position Overview
The Sales Administrator supports the sales team by managing administrative tasks, maintaining customer data, coordinating sales processes, and ensuring smooth operational workflows. This role plays a critical part in improving sales efficiency and delivering a high-quality customer experience.
Key Responsibilities
Sales Support
Assist the sales team with preparing quotations, proposals, and contracts
Process orders, track shipments, and ensure timely delivery
Maintain up-to-date records of customer interactions in CRM systems
Coordinate with internal teams (finance, logistics, marketing) to support sales activities
Data & Reporting
Generate regular sales reports, dashboards, and performance metrics
Analyze sales data to identify trends and support decision-making
Maintain and update product pricing, customer records, and sales databases
Customer Service
Act as a point of contact for customer inquiries and order status updates
Handle customer issues and escalate when necessary
Ensure high levels of customer satisfaction through timely responses
Process Optimization
Identify opportunities to improve sales processes and administrative workflows
Support implementation of new tools, systems, or technologies
AI & Technology (Preferred)
Basic understanding of Artificial Intelligence (AI) concepts and tools
Experience using AI-powered tools for sales analytics, forecasting, or customer insights is a plus
Familiarity with CRM platforms with AI capabilities (e.g., Dynamics 365, Salesforce Einstein)
Ability to leverage automation tools to improve efficiency and reduce manual tasks
Qualifications
Education
Bachelor’s degree in Business Administration, Sales, Marketing, or related field (preferred)
Experience
2–5 years of experience in sales administration or support roles
Experience working with CRM systems and sales tools
Skills
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Proficiency in Microsoft Office (Excel, PowerPoint, Word)
Analytical mindset with attention to detail
Ability to work collaboratively in a fast-paced environment
Preferred Skills
Knowledge of AI-driven sales tools and automation platforms
Experience with data analysis and reporting tools (Power BI, Excel advanced)
