Accountabilities Coordinate multiple medical communications projects simultaneously, ensuring timelines, deliverables, and project milestones are tracked and completed efficiently.

Manage medical, legal, and regulatory (MLR) review processes, including submissions, status tracking, stakeholder communication, and coordination with internal reviewers.

Organize internal and external meetings, prepare agendas, capture meeting notes, and distribute clear action items and project updates.

Support project financial administration by assisting with invoicing reviews, reconciliations, Sunshine Act reporting, and other client reporting requirements.

Collaborate with external vendors to coordinate meeting logistics, including venue sourcing, travel arrangements, audiovisual requirements, catering, and event execution.

Facilitate assignment team meetings, maintain project documentation, identify workflow challenges proactively, and help implement effective solutions to keep projects moving forward.

Requirements

Bachelor's degree in communications, marketing, advertising, journalism, or a related discipline; other academic backgrounds will also be considered.

0–2 years of professional or internship experience in a client services, agency, project coordination, or related environment.

Strong organizational and multitasking skills, with the ability to manage numerous concurrent projects and competing deadlines.

Excellent written and verbal communication skills, with a collaborative and proactive approach to problem-solving.

Intermediate to advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Project.

Experience supporting project managers, coordinating timelines, or developing project schedules is considered an asset.

Ability to thrive in a fast-paced environment while maintaining exceptional attention to detail and a solution-oriented mindset.
